Business Process Automation

For businesses with regular inquiries and repetitive work: I connect CRM, communication, reporting and documents. From the first task to implementation, monitoring and team handover, with or without AI.

No technical brief required. We first clarify your task and the engagement format. Fees and timing are agreed before work begins.

Signs of a manual process

Manual work worth reviewing

The best candidates are recurring operations with a clear outcome where a delay or error costs time, a customer or money.

  1. 01inquiries, documents or data are copied manually between systems
  2. 02the next action depends on an employee remembering it
  3. 03reports, messages and standard documents are rebuilt every time
  4. 04leadership discovers a missed task or delay too late

Why this approach is different

Business logic before integrations

My core background is customer acquisition, lead quality, funnels, CRM, telephony and sales control. I therefore look beyond whether a workflow ran: I check whether the customer received a response, whether the next action exists and whether leadership can see the real outcome.

  1. 01I start with the business problem, not with Make, n8n or AI
  2. 02I connect automation to ownership, exceptions and control
  3. 03I test the workflow and hand over documentation and support rules

Two ways to start

A defined task or a visible problem?

No technical specification is required. We start with the current process, the problem and the outcome you want.

Path 01 · Defined idea

Already know what you want to automate?

Describe the challenge in plain language. You do not need to select tools or know how the integration should work.

Tell us
  • what employees currently do manually
  • where delays, duplicates or errors occur
  • what outcome you want to achieve
We will assess
  • whether the task can be automated reliably
  • which decisions should remain with people
  • which systems, constraints and exceptions must be considered

Path 02 · Visible problem

See the losses but do not know what should be automated?

We review the process with the owner and team to identify operations where automation can create the strongest practical benefit.

We look for
  • repetitive manual work
  • delays, errors and losses between people and systems
  • processes without ownership and control
A separately scoped diagnostic delivers
  • a process and bottleneck map
  • priorities by impact and complexity
  • a recommended architecture and implementation plan

What we automate first

Typical tasks. Not a closed catalogue.

This is not a closed catalogue. It shows the types of challenges you can bring, even if you do not yet know the name of the solution.

01

Inquiry control and response speed

  • website, paid media and messenger inquiries into CRM
  • automatic ownership routing
  • first-response monitoring
  • recovery of missed calls and chats
Discuss this process
02

Follow-up and customer recovery

  • next actions based on lead status
  • sales-rep reminders
  • reactivation of dormant contacts
  • booking and payment reminders
Discuss this process
03

Sales control and AI analytics

  • call transcription and summaries
  • conversation scoring
  • automatic CRM updates
  • leadership reporting
Discuss this process
04

Custom business automation

  • reporting and data consolidation
  • PDF, invoice and document processing
  • proposal generation and approvals
  • chatbots and internal AI assistants
Discuss this process

My strongest specialization is inquiries, CRM and sales. But if another recurring operation consumes time or creates errors, it can be assessed too.

Illustrative workflow, not a client case study

From an inquiry to the next action

An example of moving an inquiry from a website or messenger into CRM. The actual workflow, exceptions and acceptance criteria depend on your process.

  1. 01Event

A new inquiry, missed call, status change or another trigger starts the workflow.

  2. 02Check and decision

The system checks duplicates, data, conditions, ownership and allowed exceptions.

  3. 03Automated action

It creates a CRM record, task, message, document or data transfer.

  4. 04Outcome control

The status, error or overdue action is recorded and the responsible person is alerted.

Before launch, the workflow is tested against standard and exceptional situations. The team receives documentation and support rules.

An engagement that fits

Validate the business case first

Before we start

Before we start

01Does the solution have to use AI?

No. If a standard integration, rule or workflow is more reliable, that is what I recommend. AI is used only when it creates a practical advantage.

02What if I do not know what to automate?

We clarify the problem in the first conversation. A deeper diagnostic is scoped separately if needed. An undefined process should be structured first, rather than automating chaos.

03Do I need a technical specification?

No. A description of the current process, systems, frequency and desired outcome is enough. The technical architecture and acceptance criteria are defined after diagnosis.

04What happens after launch?

Your team receives documentation and training. The stabilization period, support hours, owners and incident response process are agreed in the scope.

05Who owns the accounts and workflows?

We agree on account ownership, rights to deliverables and access before starting. Handover is designed to include documentation, configuration and operating rules, without relying on the contractor's personal account.

06What if a platform is unavailable or AI makes a mistake?

For each workflow we define retries, error logs, alerts and escalation to a responsible person. Critical decisions stay under human control. I do not promise error-free or fully autonomous AI.

07How is the fee determined?

After discussing the process, based on systems, rule complexity, data quality and responsibility. Implementation, third-party subscriptions and support are separated in a personal proposal.

The first step

Let's discuss your process

Bring a defined idea or simply a problem. Describe what happens today and what you would like to change.

  1. 01

Clarify the process, its scale and your intended outcome.

  2. 02

Decide whether a diagnostic, a pilot or another format fits.

  3. 03

Agree on scope, fees and timing before work starts.

The first conversation is not a full audit. A process map, architecture and implementation plan are a separately agreed engagement.
